Privacy Policy

TotBridge is an app daycares use to keep records on the children in their care and to communicate with those children's families. This policy explains what information the app collects, how it's used, and who can see it. TotBridge is used only by adults — daycare staff and the parents/guardians they invite. Children never use the app or hold an account themselves; any information about a child is entered and controlled by the daycare and that child's own parent or guardian.

Information we collect

Depending on your role, this may include:

• Account information — your name, email address, phone number, and profile photo.
• Children's information, entered by daycare staff or a parent — name, date of birth, photos and short videos, allergies and health/medical notes, immunization records, emergency contacts, and enrollment history.
• Daily activity records — attendance/check-in times, meals, naps, mood notes, incident reports, and daily updates posted for a child.
• Messages sent between staff and families, and comments/likes left on posts.
• Payment and billing records — tuition charges and payment history the daycare keeps for its own accounting.
• Staff records, for office staff accounts — certifications, training documents, and work schedule/attendance.

How this information is used

Solely to operate the app for your daycare's own benefit: keeping accurate records, sharing daily updates and photos with a child's own family, staff coordination, and the daycare's own administrative and billing recordkeeping. We do not use this information for advertising, and we do not sell it to anyone.

Who can see what

Every daycare's data is kept completely separate — one daycare's staff and families can never see another daycare's information. Within a single daycare:

• A parent can only see information about their own child(ren).
• A teacher can see the children and information relevant to their own class(es).
• The most sensitive information (financial/billing records, emergency plans, other staff's private reminders) is limited to the daycare's director and supervisors.

Where information is stored

TotBridge is built on Google Firebase / Google Cloud Platform. Information is encrypted in transit and access to it is enforced by server-side security rules matching the roles described above — the app's own servers, not just the app's screens, refuse any request that falls outside them.

How long we keep information

Daily photos and videos are kept for 30 days on our Basic plan, or kept indefinitely on our Premium plan. Incident reports, attendance, and other core records are kept for as long as your daycare's account is active, plus any additional period your daycare chooses to comply with its own recordkeeping or licensing obligations.

Your choices

You can review and update most of your own information from within the app. You can permanently delete your own account and login at any time from Profile → Delete my account — this removes your personal login and profile. Records you contributed while part of a daycare (such as a posted update or a message) may be retained by that daycare afterward as part of its own business records, the same way a paper file would be, unless you contact us to request their removal.

Children's privacy

TotBridge is not directed at children and children do not use it. All information about a child is provided by that child's daycare and/or their own parent or guardian, who remain responsible for what is shared.

Changes to this policy

If this policy changes in a meaningful way, we'll update the date at the top of this page.
